Job Title: Office Manager/ EA_WFG- CanadaLocation: Toronto, Ontario, CanadaEmployment Type: ContractAbout the RoleWe are looking for a motivated and detail-oriented individual to join a leading company in the financial services sector. In this role, you will contribute to managing facilities, providing administrative support, and enhancing field relations.Responsibilities
  • Act as the liaison with the landlord on various facilities and space-related matters.
  • Coordinate scheduling for internal teams and field visitors.
  • Conduct tours of the facility and various departments for visiting field leaders.
  • Handle calls and visits from the field in a professional manner; anticipate needs, provide solutions, etc.
  • Lead the Safety Team in conjunction with Human Resources, and serve as the liaison for other worker Associations.
  • Make travel arrangements and submit expense reports for the President, WFG Canada and others as needed.
  • Order and maintain office supplies.
  • Coordinate catering.
  • Coordinate worker moves within the location.
  • Provide regular updates to the broader management team on location-specific issues and events.
  • Generate and maintain confidential files.
  • Develop new concepts and techniques to improve effectiveness, handle and resolve complex or unique assignments and inquiries, often exercising independent judgment and initiative.
  • Keep the reception/lobby area neat and organized.
  • Log and distribute incoming mail.
  • Respond to email inquiries from product providers regarding branch office verifications.
  • Mail out statements.
  • Email agent-recodes and life licence copies to verified parties as needed.
Requirements
  • Three years of administrative support or related experience.
  • Excellent written/oral communication and interpersonal skills.
  • Organizational skills to establish priorities and meet deadlines.
  • Attention to detail.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Proficiency using MS Office tools.
Preferred Qualifications
  • Post-secondary education.
  • Experience in the financial services industry.
  • Office management/executive assistant experience.
