Reporting to the Supervisor of Human Resources, the Administrative Assistant will provide Administrative Support to the Human Resources TeamDIRECT REPORTS:
This position has no direct reports.RESPONSIBILITIES:
- Perform routine reception and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information to callers and visitors.
- Distributing and maintaining confidential and highly sensitive material to appropriate team members and personnel files.
- Coordinating employee events, meetings, functions, catering, scheduling interviews, and employee testing.
- Maintaining and ordering office supplies.
- Distributing and posting notices of vacancies on the appropriate bulletin boards.
- Producing and typing employment verification and reference letters.
- Recording, preparing, and distributing minutes of all department meetings.
- Conducting reference checks.
- Reviewing and entering of Above and Beyond Award nominations.
- Enrolling and maintaining gym memberships and deductions.
- Enrolling and maintaining parking and ID badges for staff/volunteers.
- Participating in monthly Health and Safety inspections.
- Sorting and distributing mail.
- Other duties as assigned.

- Demonstrated appreciation of issues involving client/staff/employee/employer privacy and confidentiality in a multifaceted health care facility.

- Demonstrated ability to work independently, coordinating and prioritizing multiple assignments.
- Commitment to continuous quality improvement in the provision of administrative support services.
- Excellent organizational, information/data management skills, well developed judgment and decision-making skills.
- Ability to implement continuous quality improvement initiatives to support the core functions of the department.
- Graduate of post-secondary human resources program.
- Previous work experience in a Human Resources Department required.
- Experience working with HR Information Systems (preferably AS/400 Infinium).
- Experience taking meeting minutes.
- Demonstrated Intermediate-level knowledge and experience in Microsoft Office Suite programs: Word, Excel, Power Point; Outlook.
- French Language proficiency an asset.
