- Provide daily administrative support to field teams from the site office, ensuring all maintenance and equipment documentation is accurate and submitted on time.
- Perform high-volume and precise data entry for work orders, maintenance logs, equipment hours.
- Maintain and update digital filing systems, spreadsheets, and OneDrive folders to ensure real-time visibility for field supervisors.
- Review, validate, and correct documentation received from Foremen and Technicians, including repair logs, time sheets, inspection sheets, and equipment reports.
- Assist field personnel with computer-based tasks such as completing online forms, uploading documents, and navigating internal systems.
- Coordinate daily with Foremen and Maintenance Supervisors to confirm priorities, communicate updates, and prepare required reports.
- Support the maintenance planning process by organizing schedules, tracking outstanding work orders, and monitoring incoming/outgoing equipment documentation.
- Compile and distribute daily site reports and ensure all administrative duties align with client requirements and company standards.
- Maintain an organized site-office environment, ensuring documentation, digital tools, and reporting resources are easily accessible to field employees.
- Coordinate and facilitate site and team meetings.
- Minimum 2 years experience in maintenance/parts related role to have some mechanical knowledge of heavy equipment.
- Excellent skills in Excel combined with intermediate skills in MS Office.
- Ability to manage heavy workloads with multiple priorities.
- Must be willing to travel, typically working 12 hours per day on a 14/14 rotational schedule depending on requirements.
- Possess strong communication skills.
- Attention to detail and ability to work under pressure with strict deadlines.
- Highly organized.
- Class 5 License
- Willing to stay in camp
