Together we are more than 5,000 dedicated faculty, librarians and staff supporting the University of Victoria's diverse academic programs, world-class research and commitment to civic engagement.Job SummaryUnder the direction of the Associate Director, Recreation and working closely with recreation team, this position provides administrative support to sport and recreation clubs and camps and is a member of the greater Athletics and Recreation administration team. The Recreation Clerk provides front line customer service to Vikes Athletics & Recreation.The Recreation Clerk may provide similar administrative or clerical support to other units, as required, to cover breaks or temporary periods of leave. This position is a key part of the Athletics & Recreation administrative team and is expected to provide excellent service to internal and external clients, to demonstrate effective administrative skills and a willingness to help ensure the departments goals are reached or exceeded.While the Recreation Clerk's primary responsibilities will be to youth programs and recreation clubs, the Recreation Clerk may be required to work across department work units. Vikes Athletics and Recreation is a 7 day per week operation and operates evenings and weekends. The Recreation Clerk will be expected to work business hours Monday to Friday with occasional evening or weekend work as required by the operation.Job RequirementsThis position requires a level of education, training, and experience equivalent to a minimum of two (2) years of recent experience in a similar administrative or customer service role, preferably in a post-secondary or institutional setting. An equivalent combination of education, training, and experience may be considered.Knowledge, skills, and abilities include:
  • Highly service-oriented with strong communication and interpersonal skills.
  • Demonstrated commitment to equity, diversity, inclusion, and Indigenous truth and reconciliation, and to contributing to an inclusive and respectful working and learning environment.
  • Proven ability to maintain confidentiality and exercise discretion when handling sensitive information.
  • Strong organizational and time management skills with attention to detail and accuracy.
  • Flexible in adapting to changing work priorities and able to work in an environment with constant interruptions.
  • Demonstrated ability to work both independently and collaboratively as part of a team, with flexibility to support colleagues and shifting responsibilities.
  • Proficiency in general office administration, including scheduling, document handling, record management, and use of related policies and procedures.
  • Strong competency with a range of technologies including MS Office (Excel, Word, PowerPoint, Teams), point-of-sale systems, databases, spreadsheets, and other retail or administrative software.
  • Physical ability to lift and move boxes up to 30 lbs in support of meetings, events, and general office operations.
Assets or preferences:
  • Experience working with UVic administrative systems.
  • Experience using Fusion software or other recreation-related systems.
