- Provide comprehensive administrative support to the Facilities Maintenance & Operations department.
- Serve as the first point of contact for facilities-related inquiries, directing requests and information appropriately.
- Coordinate meetings, prepare agendas and minutes, track action items, and maintain departmental records, files, and documentation.
- Support operational and capital projects through document management, tracking, and coordination with internal and external stakeholders.
- Maintain accurate data across facilities systems, including work orders, assets, access, vehicles, and contracts.
- Deliver professional, responsive customer service to students, staff, contractors, consultants, and the public.
- Respond to inquiries related to facilities services such as custodial, parking, fleet vehicles, access requests, and work orders.
- Work collaboratively with Facilities staff to ensure timely and effective issue resolution.
- Assist with purchasing, invoicing, internal transfers, expense claims, and p-card reconciliations.
- Provide administrative support for procurement and contract processes, including record-keeping and tracking.
- Collaborate regularly with the Financial Services department.
- Support departmental initiatives related to maintenance, capital planning, space management, sustainability, risk, health and safety, and security.
- Assist with reporting, committee work, special projects, training, and events.
- proficiency in Microsoft Office applications such as Word, Excel, PowerPoint and Outlook;
