- Answer and forward all incoming phone calls, take messages and greet visitors; maintain front desk security and access to the offices;
- Provide administrative support to corporate staff including preparation of correspondence, presentations and reports, recording of minutes, photocopying, scanning, binding and filing; maintaining inventory of office supplies and preparing orders as required; receiving, sorting and distributing mail in the office as well as maintaining the boardroom schedule for meetings;
- Coordinate travel for all Oceanex employees (excluding vessel crews);
- Support the Quality Management Lead and Corporate Administrator with control of documented information;
- Enter Corporate Office Purchase Orders in AMOS;
- Perform accounting duties such as coding and totaling employee expense claims;
- Perform other duties, as assigned.
- Graduate of a 2-year Office Administration program or equivalent combination of experience and education;
- Minimum of 2 years as a receptionist or related area;
- Strong working knowledge of computers, specifically Word and Excel.
- Excellent written and oral communication skills;
- Excellent interpersonal skills;
- Strong organizational and priority management skills;
- Proficient in MS Office;
- Excellent multitasking skills.
