- Manage every aspect of their assigned events from the advance planning stages through to the end of the event.
- Serves as primary on-site contact and facility representative for all assigned events.
- Advance each show/event with appropriate show/promoter representative in a timely fashion.
- Lead site visits and meetings with clients for all assigned events.
- Anticipate problems and develop appropriate solutions.
- Communicate all event information to the appropriate Departments and staff.
- Distributes accurate event seating information with the Box Office Manager and Operations Manager and ensures that event set-ups are accurate.
- Communicates in a timely manner with each Department Head regarding specific needs and information for each event.
- Prepares and distributes Event Data Sheet to all staff and Departments in a timely manner.
- Prepares post event report for all events coordinated.
- Assist with the completion of pre- and post-show event financial estimates.
- Review and evaluate required event staffing levels with the Event Services Manager.
- Communicates with vendors and contractors for set-up requirements and required labour.
- Foster and maintain a collaborative relationship with tenant teams and long-standing partnerships.
- Prepare event estimates as assigned by General Manager or designate.
- Executes other tasks as assigned by Events Department Manager or Director of Operations.
- Proactively provides excellent customer service to external and internal guests. Using resources to resolve issues as they arise.
- Participation in Company committees and initiatives.
- Continually improving Department’s performance and reputation.
- 3+ years of increasingly responsible experience in event management in a stadium, arena, convention center or public assembly facility setting.
- Familiarity with terminology used in entertainment/convention/public assembly settings.
- Post-Secondary education from an accredited college/university with major coursework in facility management, hospitality management, business, or related field.
- Strong oral and written communication skills.
- Possesses problem solving skills and an ability to work under pressure and in a high stress and fast-paced environment while prioritizing multiple projects at once.
- Strong computer skills in Microsoft Office applications, and other business-use programs or software.
- Knowledge of various practices and techniques including, but not limited to, crowd management and control, customer service practices and fire and public safety regulations.
- Ability to identify the needs of users of the facility.
- Ability to maintain an excellent public image for the facility.
- Experience with budget preparation and control.
- Experience with AutoCAD is preferred but not required.
- Ability to walk and stand for an extended period of time.
- Able to work a flexible and sometimes demanding schedule; including long shifts, late nights, early mornings, weekends, and holidays as required.
- Supervise operations as pertaining to event set-ups, and safety within the building.
- Competent as defined by the Occupational Health and Safety Act.
- Maintain a high standard of excellence in regard to public perception, customer relations, and employee commitment.
- Make sure that the building is safe and ready at all times, for whatever the building is needed for.
