Role Description
Reporting to the Director, Property Management, the Project Coordinator will play a key role in supporting ongoing renovation projects, in addition to supporting other property management functions within the Purdy's Wharf office complex, one of Halifax's most sought-after commercial spaces. You will actively participate in both internal and external meetings concerning ongoing projects, taking minutes, and using this information to develop and submit various documentation, including contracts, purchase orders, change orders, project schedules, and more.

Your responsibilities will Include:
  • Provide support in the preparation and distribution of RFP/RFQ's;
  • Obtain and manage vendor prequalification documentation;
  • Prepare purchase orders, contracts, and change orders, in addition to supporting the distribution of procurement documents;
  • Support a variety of project tasks including project budget set-up and maintenance within various computer programs (i.e., Yardi 7S, MS Projects, etc.);
  • Actively participate in internal and external design/construction meetings as required, preparing meeting minutes;
  • Track and maintain records of all awards, contemplated change notices, change orders, site instructions, requests for information, and construction communications as required, ensuring they are addressed to the appropriate individuals in a timely manner;
  • Assist in the collection and distribution of all project closeout documentation with consultants, and the City of Halifax, including commissioning reports, as-built drawings, operation and maintenance manuals, occupancy permits, and more;
  • Support other various property management projects such as environmental certifications, OH&S audits, and more;
  • Support of the Tenant Services Coordinator role for absences.
Qualifications
As the ideal candidate, you are positive, energetic, and willing to learn. You enjoy taking initiative and keeping busy, often investigating and researching solutions to problems before bringing recommendations forward. You take pride in your work and demonstrate excellent organizational skills and professional client service. Lastly, you are passionate about ensuring that tenants of Purdy's Wharf have the best experience possible.
Your qualifications include:
  • 2+ years experience in the construction or real estate industry, preferably working on commercial projects or real estate operations/management;
  • Post-secondary education in a relevant discipline, including engineering, architecture, construction management, business administration, commerce, or another relevant field of study;
  • PMP or related certifications (i.e., RPA, FMA, SMA) would be considered a strong asset;
  • Demonstrated experience with budget administration, cost control, contract administration, and filing/record keeping;
  • Advanced knowledge of Microsoft Office Applications (i.e., Word, Excel, PowerPoint, etc.), and familiarity with MS Projects would be considered an asset;
  • Strong organizational and planning skills;
  • Excellent attention to details;
  • Professional attitude, with strong analytical and problem-solving skills.
