Sales Coordinator

- Manage and track all incoming sales inquiries (phone, email, online), ensuring timely distribution to the appropriate Sales Manager within a 24-hour turnaround
- Check availability for guest rooms and event spaces, supporting the sales process with accuracy and efficiency
- Assist in preparing proposals, estimates, and formal contracts tailored to each client’s needs
- Block guest rooms and function spaces within property management systems
- Coordinate dining reservations and additional services tied to group bookings
- Distribute detailed event and booking information across departments to ensure alignment and execution
- Prepare weekly and monthly sales reports, supporting strategic insights and performance tracking
- Provide administrative support to the Director of Sales & Marketing and Director of Group Sales as required
- Liaise with internal stakeholders including Conference Services, Culinary, and Leadership teams to support unique client requests
- Occasionally support and participate in site inspections with prospective clients
- Attend regular Sales, Conference Services, and operational meetings to stay aligned and informed
- Contribute to a collaborative and supportive team environment, bringing a positive and solutions-focused approach
- Minimum 1 year of experience in a hotel environment (Sales, Reservations, Conference Services, or Front Office preferred)
- Exceptional written and verbal communication skills in English
- Strong proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Experience with Opera Cloud, OSEM, or similar property management systems is an asset
- Highly detail-oriented with strong organizational and time management skills
- Self-motivated, proactive, and able to manage multiple priorities in a fast-paced environment
- Positive, professional, and collaborative team player
- Passion for hospitality and a desire to grow within Sales & Marketing
- Hospitality Degree or Diploma considered an asset
- Experience within a luxury resort or destination property
- Familiarity with group sales processes and event coordination
- Exposure to rebranding or pre-opening environments
- Understanding of Banff or destination resort markets
- Extended periods of sitting, standing, and computer use
- Occasional participation in site inspections and resort walkthroughs
- Ability to manage multiple tasks in a fast-paced environment while maintaining attention to detail
- Flexibility to support business needs, including occasional evenings or weekends
