- Develop a thorough understanding of assigned functional programs including program priorities, constraints, functional output specification requirements and operational needs. The Manager will be critical in ensuring Project Co. team(s) are meeting all functional, operational and space requirements through construction drawing and submittal reviews ensuing the new facility is compliant with our user’s requirements.
- Develop operational transition plans for assigned functional programs. These plans will include financials, workflow design, policies and procedure, technology integration, program staffing, staff training, move planning and support service optimization.
- Provide subject matter expertise in hospital operations in a variety of program areas, capable of making recommendations and decisions, and be an active link between user groups and the Redevelopment project.
- Develop Operational Readiness and Transition Planning Roadmaps.
- Develop and maintain the project documents and tools e.g., project work plans, project logs, and support the development of guidelines, policies, templates, forms, and website information to support operational readiness and program planning activities and processes.
- Collaborate with users and Program Champions to gather and evaluate their needs, investigate options, and make high level recommendations on approaches to resolve their needs or challenges within the scope of the project.
- Work with the programs and services to optimize the goals of the redevelopment project, by leading and/or facilitating working groups, liaising between the Program Champions and the project teams to drive the project plan for the assigned areas.
- Identify risks, propose mitigation plans, and follow the project governance framework for decision making.
- Communicate project results and recommendations to the Director and key users, prepare and present status updates for the assigned areas at the Operational Readiness Committees and user groups.
- Work closely with the Project Coordinator to ensure efficient meeting management, objectives of each meeting are articulated and complete, and follow up items are documented and followed through.
- This position will interact with a multi-disciplinary team of hospital professionals, department end users, internal and external partners in the planning and development of the operational readiness requirements for the new hospital and support program planning activities.
- Effectively applying facilitation, communication, and negotiations skills in working closely with project workstreams, program leaders and key stakeholders in the development, implementation, and monitoring program-specific operational readiness plans.
- Liaise with other teams and committees at WRH as required.
- This role requires developing an interest and knowledge of the future state of healthcare delivery, value-based delivery, technological trends, patient/family engagement and participation. The role requires translation of this knowledge and challenging assumptions and norms for the purpose of transforming delivery of care.
- Maintaining and promoting a safe and clean working environment for all employees, students, visitors, patients/clients, family members and physicians and fulfilling the duties of workers under the Occupational Health and Safety Act.
- Having the right to be part of the process of identifying and resolving workplace health and safety concerns. This right is expressed through worker membership on joint health and safety committees, or through worker health and safety representatives.
- Having the right to know about any potential hazards to which they may be exposed. This means the right to be trained and to have information on machinery, equipment, working conditions, processes and hazardous substances.

- Reporting and documenting any observed risks or hazards to management personnel and taking immediate corrective action whenever safe and feasible.
- Acting in accordance with hospital patient safety policies and programs.
- Responding to safety risks to clients and takes action in situations where client safety and well-being are compromised.
- Reporting any observed risks to the appropriate authority whose actions or behaviours towards clients are unsafe or unprofessional.

- Participating as a member of project teams or committees as appropriate.
- Participating in activities of organizational renewal and development.
- Sharing expertise and knowledge with other team members and other teams throughout the organization.

- Effective interpersonal communications skills required to build and support positive relationships, and in dealing complexity with diligence, diplomacy, collaboration and analytical skills.
- Ability to read architectural, mechanical, structural, and electrical drawings is considered an asset.
- Familiarity with Broader Public Sector Procurement (BPS) requirements.
- Excellent presentation and communication skills (both verbal and written).
- Experience at working both independently and in a team-oriented, collaborative environment is essential.
- Ability to work under pressure with changing priorities and ambiguity in a complex environment.
- General knowledge of capital budgets, accounting, and fiscal management skills.
- Excellent time management skills in managing workloads, schedules, and deliverables.
- Degree or Diploma in a related field, successful completion of a bachelor’s degree in business administration, Science or related discipline from a recognized academic institution required.
- Demonstrated knowledge of project management processes and methodologies required.
- Project Management Professional (PMP) designation is preferred.
- Experience supporting Operational Readiness in a hospital redevelopment project preferred
- Lean or Six Sigma Training an asset.
- Strategic thinking, strong leadership and coaching qualities with the ability to engage, motivate and lead small teams, resolve team conflicts and work collaboratively to achieve overarching project goals.
- Excellent administrative and organizational skills for record keeping monitoring and timely delivery of the project.
- Advanced application of project management tools and a strong level of competency with Microsoft Windows (Teams, Word, Excel, Visio and PowerPoint).
- Strong understanding of hospital operations and experience engaging interprofessional teams.
- Basic understanding of Broader Public Sector Directives, healthcare design and uniqueness of a healthcare setting, and Design Thinking Principles.
- Strong advocacy for patient and family centered design.
- Experience successfully supporting diverse groups by learning and understanding their needs and objectives; experience establishing credibility and working relationships; solid sense of confidentiality and discretion.
- Occasional travel to hospital and project sites to better inform project deliverables.
