- Ensure timely and accurate dispatching and scheduling of shipments, adhering to government rail standards, procedures, and contract timelines.
- Participate in forward booking of freight to secure cost‑effective transportation options.
- Ensure carrier compliance with company policies and operational standards.
- Manage shippable stock inventories and develop transportation plans to maximize efficiency.
- Review and investigate discrepancies in freight invoices; ensure timely receipt and tracking of unload information from carriers.
- Monitor trends and anomalies in logistics data and implement corrective actions as needed.
- Coordinate rail load times, order rail boxcars, and schedule arrival times.
- Generate Bills of Lading and shipping documents for all modes of transportation (hoppers, railcars, intermodal containers).
- Communicate with customers, employees, producers, and carriers to ensure expectations are met or exceeded.
- Assist with tender offers based on rail delays and shipping timelines; may tender shipments to buyers or brokers.
- Communicate with truck dispatch to prepare Automated Commercial Environment (ACE) documents for cross‑border shipments.
- Maintain inventory accuracy by reconciling product movements and applying product to outgoing loads.
- Generate deferral contracts and target price agreements.
- Maintain grower files and input information into the Name and Address system.
- Provide general administrative support, including arranging travel and accommodations, preparing documents, reports, spreadsheets, and presentations.
- Maintain filing systems, manage office supplies, and handle incoming/outgoing correspondence.
- Serve as the first point of contact for calls and visitors, responding to routine inquiries.
- Complete accounts payable vouchers, process invoice payments, reconcile purchase card statements, and assist with staff time entry.
- Perform additional tasks as required to support logistics and administrative operations.
- Minimum of three (3) years’ experience in logistics, transportation, or inventory management.
- Grade 12 or equivalent required; a post‑secondary degree or diploma in Business Administration is preferred.
- Equivalent combinations of education and experience may be considered.
- Knowledge of the transportation industry, including grain transportation requirements and practices, is an asset.
- Strong interpersonal and communication skills with the ability to build effective relationships with internal and external stakeholders.
- Demonstrated planning, analytical, and problem‑solving abilities.
- Proficiency with computers, including spreadsheets, databases, communication tools, and word‑processing software.
