Position Summary
Toronto Port Authority is seeking a Technical Writer to support the development, revision, and maintenance of high-quality documentation for the organization, with a specific focus on Billy Bishop Toronto City Airport. The role will work closely with subject matter experts, project managers, business analysts, IT teams, and operational stakeholders to produce clear, accurate, and user-focused documentation that supports internal processes, system implementations, training, compliance, and knowledge transfer.
Key Responsibilities
- Develop new documentation such as plans, standard operating procedures, business process documents, technical manuals, system guides, user guides, training materials, project documentation, executive summaries, briefing notes, and fillable digital forms.
- Review and update existing documents to improve accuracy, clarity, consistency, formatting, and compliance with organizational standards.
- Conduct content audits to identify documentation gaps, inconsistencies, outdated information, and improvement opportunities.
- Gather information through interviews, workshops, and working sessions with subject matter experts and stakeholders.
- Translate complex technical and operational information into easy-to-understand content for technical and non-technical audiences.
- Apply and maintain documentation standards, templates, style guides, branding requirements, and terminology consistency across deliverables.
- Support process and workflow documentation by preparing flowcharts, diagrams, checklists, and reference guides using appropriate tools.
- Maintain version control, archival practices, and documentation governance throughout the engagement.
Deliverables may include plans, SOPs, technical manuals, training guides or slide decks, process maps, requirements or specification documents, knowledge base articles, and change management communications or summaries. Each deliverable may include draft preparation, stakeholder review, revisions, and final issued versions.
Required Qualifications
- Proven experience as a Technical Writer supporting operational, technical, business, or project documentation.
- Demonstrated ability to work with subject matter experts and cross-functional teams to gather, organize, and communicate information clearly.
- Strong experience producing user-focused documentation for diverse audiences.
- Ability to develop structured documentation for processes, systems, training, and governance needs.
- Strong editing, formatting, document control, and version management skills.
- Experience working in complex organizational environments with evolving processes, systems, and compliance requirements.
- Experience creating SOPs, process maps, technical manuals, user guides, and training content.
- Familiarity with workflow/process mapping tools such as Visio.
- Ability to design fillable digital forms and structured templates.
- Strong knowledge of documentation standards, style consistency, accessibility, and branding requirements.
- Excellent written communication, stakeholder engagement, and collaboration skills.
The Technical Writer is expected to work in a collaborative manner with Toronto Port Authority stakeholders through discovery, content development, review cycles, finalization, and ongoing support. Work will be delivered on a time-and-materials basis, with actual time billed against approved assignments and priorities.
