Regular Tasks :
  • Answer the main office phone line (bilingual).
  • Keep all Trium portfolio availabilities up to date:
  • Website
  • Floor plans
  • Internal and external listings
  • CoStar / LoopNet
  • Cromwell stacking plan (every 15th of the month)
  • Oversee the marketing launch of new mandates.
  • Plan and coordinate mass email campaigns (Mailchimp).
  • Prepare transaction sheets.
  • Support brokers with market study tasks.
  • Manage administrative needs such as electronic signatures, credit checks, signage suppliers, IT coordination, Espace MontrĂ©al review, photographers, etc.
  • Prepare agendas for team meetings and activity reports for selected clients.
  • Maintain proactive tracking of mandate renewals.
  • Manage mail sent to suppliers and consolidate the Trium business account.Handle office supplies (Bureau en Gros orders, Xerox toner cartridges).
  • Maintain the server and files.
Occasionally:
  • Prepare proposals/submissions for prospects.
  • Assist with property tours for prospects.
Marketing Responsibilities:
  • Manage and update the Trium website.
  • Create marketing brochures.
  • Oversee social media content (LinkedIn, Facebook, YouTube).
  • Format and design documents such as market studies, tour books, presentations, and more.
