The Faculty of Agriculture, Dalhousie University is a small research-intensive campus located in Truro, NS. Offering technical, undergraduate and graduate programs in agriculture, environment and related life and social science disciplines, the Faculty of Agriculture educates future leaders and generates knowledge and innovative solutions for healthy, sustainable societies. Reporting to the Faculty Administrator, the Administrative Assistant, Research and Graduate Studies, provides key administrative and secretarial support to the Dean's Office, in particular the research and graduate program activities within the Faculty of Agriculture.
Key Responsibilities
  • Act as the first point of contact for program inquiries from current and prospective graduate students and adjunct professors, faculty, staff and graduate supervisors.
  • Coordinate day-to-day office activities and provide clerical support for the Associate Dean Research (ADR) and Graduate Coordinator. Support graduate studies and research related committees. Assist as well with Dean's Office activities including back-up reception duties.
  • Set-up and maintain a variety of electronic and manual files and databases. Ensure required documentation is received and processed. Coordinate all administrative aspects of the Graduate Program admission process, candidacy exams, and theses defenses.
  • Administer the financial components of the Graduate Program including updating the graduate student tuition and fee schedule, calculating stipends and resolving payroll issues.
  • Maintain the Graduate Studies webpages on the Faculty of Agriculture website including ensuring information is up-to-date and forms and policies are linked to the appropriate Faculty of Graduate Studies webpages.
  • Assist with various Dean's Office/Faculty of Agriculture events, in particular the coordination of the new graduate student orientation, the annual Graduate Research Day and recruitment activities for potential graduate students.
NoteDue to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
  • Business/Administrative Professional diploma plus approximately three to five years of related work experience (or equivalent combination of training and experience).
  • Proficiency in MS Office (particularly Word, Excel and Outlook) as well as the demonstrated ability to handle detailed numerical data and electronic records.
  • Excellent communication (verbal and written) skills and cultural sensitivity.
  • Strong attention to detail, multi-tasking, and organizational skills.
Assets
  • Familiarity with university and academic processes and regulations.
  • Experience in dealing with university students and/or researchers.
