Our client, a globally recognized firm within professional services, is seeking a polished, proactive, and detail-oriented Executive Assistant to join their high-performing team in downtown Toronto. This role combines traditional executive support with project management, communications, and relationship coordination in a dynamic, client-facing environment.About the Role:As Executive Assistant, you will support one or more senior consultants across a wide range of high-level projects and confidential client initiatives. You will be responsible for managing complex schedules, preparing high-quality client materials, coordinating with internal and external stakeholders, and ensuring every project runs smoothly, efficiently, and with discretion. You will thrive in this fast-paced environment if you are organized, adaptable, collaborative, and committed to excellence.Key Responsibilities:Administrative Support
- Manage complex calendars across multiple time zones.
- Schedule and coordinate meetings, interviews, and events (in-person and virtual).
- Arrange detailed travel itineraries and compile related documents.
- Prepare, edit, and format confidential correspondence, reports, and presentations.
- Handle expense reimbursements and invoice preparation.
- Act as a key point of communication between consultants, clients, and candidates.
- Provide occasional reception coverage and team support as needed.Project Coordination
- Support consultants through all phases of executive search projects.
- Track deadlines, deliverables, and project milestones to ensure seamless execution.
- Liaise with candidates and clients with professionalism and discretion.
- Maintain and update global internal databases and systems.
- Assist in the preparation and quality control of candidate and client deliverables.
- Coordinate closely with internal team members to maintain alignment on timelines and priorities.About You:- 3-5+ years of executive support experience, ideally within professional or client services.
- Exceptional organizational, time management, and multitasking skills.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
- Strong written and verbal communication with a keen attention to detail.
- Proven ability to handle sensitive and confidential information with discretion.
- Highly adaptable with a collaborative, “can-do” attitude.
- Confident liaising with senior-level executives and external stakeholders.
- Experience in project coordination considered a strong asset.
