Property Manager’s Assistant
Location: Vancouver, BC
Salary: $50,000–$55,000 per year + benefitsAbout the Role:
Our client, a reputable property management firm in Vancouver, is seeking a highly organized and detail-oriented Property Manager’s Assistant to join their team. This role offers an excellent opportunity to gain hands-on experience in property administration and support a busy Property Manager in the day-to-day operations of residential strata buildings.Key Responsibilities:
  • Assist the Property Manager with administrative and operational support
  • Prepare and distribute correspondence such as bylaw violation notices, chargebacks, alteration approvals, and council responses
  • Track arrears, issue billing notices and lien warnings, and coordinate documentation with legal counsel for collections or foreclosures
  • Proofread, distribute, and upload strata minutes and general notices
  • Monitor and remind the Property Manager of key deadlines for notices and documentation
  • Follow up on insurance renewal confirmations and warranty updates
  • Prepare for Annual General Meetings (AGMs), including materials like ballots and sign-in sheets, and occasionally attend to assist
  • Maintain and update community websites, post notices, and upload documents
  • Input and update meeting dates, classifieds, and owner contact information in management systems (e.g., AV and Info-Tracker)
  • Coordinate billing address changes with vendors
  • Assist in amalgamating bylaws and ordering visitor parking passes
  • Scan, file, and manage resident information and Form K processing
  • Generate payout slips and create internal forms as needed
  • Support owners with AV login access and user issues
Additional Responsibilities (if applicable):
  • Arrange and track the distribution of building keys, fobs, and enterphone updates
  • Process invoices such as utility charges (e.g., gas)
  • Order and create signage and building posters
  • Maintain a bylaw violation tracker and other administrative records
Qualifications:
  • Previous experience in property management or administrative support is an asset
  • Strong attention to detail and ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Proficient in Microsoft Office and comfortable using property management software
  • Professional demeanor with a client-service mindset
  • Ability to work independently and as part of a collaborative team
Compensation & Benefits:
  • Salary range: $50,000–$55,000 per year, commensurate with experience
